Formula Fast Ltd operates
Formula Fast Karting, Cipher Escape Rooms, Axecelerate Axe Throwing, and The Clay Lounge.

By booking, spectating or taking part, you understand and agree to these Terms & Conditions.

1. Release, Waiver & Assumption of Risk

1.1. Participation is at your own risk, or at your parent/guardian’s risk if you are under 18 years old.
1.2. All activities carry an element of risk. By participating, you understand and accept the inherent risks involved in that activity. In particular, motorsport can be dangerous, and despite reasonable precautions, accidents can happen.
1.3. Spectators watch at their own risk. Anyone entering a live operational area (e.g. kart track, pitlane, axe throwing lanes, or shooting area) must have our permission and may be required to sign a waiver.
1.4. Any children attending to spectate or participate must be closely supervised by a responsible adult at all times.
1.5. We’re not liable for accidents, injuries, or loss/damage to personal property while you’re with us. Risks include minor injuries common in physical activities (such as bumps, bruises, sprains and similar). In rare cases, there is potential for serious injury, although our safety measures and strong safety record make this an unlikely scenario.
1.6. We may refuse participation or service if you don’t follow our terms or we believe you pose a safety risk to yourself or others.

2. Age Restrictions

2.2. Under-18s must be accompanied by a responsible adult who remains on site. Under-16s must not be left unaccompanied whilst an adult participates in an activity.
2.3. You understand and accept that our venue and activities are adult-focused, and that children must behave and act appropriately for the safety and comfort of themselves and others.
2.4. Responsibility for the supervision of any attending children is with you, as the parent/guardian/person acting in loco parentis. Our team and other members of the public cannot be responsible for their supervision, safety or behaviour other than what is reasonably expected during their participation in our activities.
2.5. Proof of age may be requested. You might not be able to participate if you can’t provide this.
2.6. In any activities that allow children and adults to participate together, our first priority is the safety of children. Children do not have the same experience, skill and appreciation of risk as adults. We may modify the format & equipment, or prevent further participation if an adult or child risks the safety of themselves or others.
2.7. If acting in loco parentis for a child not your own, you confirm the parent/guardian understands the risks and consents to their participation.

3. Clothing & Equipment

Activity	Restrictions
Karting	Scarves, hoods, headwear (including turbans, hijabs and similar), dangling or sharp accessories, or unsafe footwear (including open-toed shoes, high heels and Crocs) may not be worn.
Axe Throwing	Dangling or sharp accessories, or unsafe footwear (including open-toed shoes, high heels and Crocs) may not be worn.
A private changing area can be provided if required for privacy or religious reasons.

Item	Restrictions
Helmets	Must be full face. Moto X helmets must be used with goggles.
Visors	If using a tinted visor, before driving you should ensure you can see clearly under the lighting conditions in our venue.
All equipment	All equipment must meet our minimum standards and be approved by us in advance. If we don’t think it meets our standards, we’ll need you to use our equipment instead.

4. Alcohol & Drugs

4.1. You cannot participate in any activities if you are under the influence of drugs.
4.2. You cannot participate in Karting / Axe Throwing activities if you are under the influence of alcohol.
4.3. You cannot participate in Escape Room or Clay Shooting activities if you are (or appear to be) impaired by alcohol.
4.4. We may not allow you to participate if we think you meet any of the criteria above (4.1-4.3) at any stage of your visit. You aren’t entitled to a refund in these circumstances.
4.5. We are licenced to serve alcohol. However, you must have completed any Karting / Axe Throwing activities before you can be served. You may not participate further in these activities after you’ve consumed alcohol, and we may use identification systems to monitor alcohol consumption.
4.6. Proof of age may be required. We operate a ‘Challenge 25’ policy and may refuse to serve you if you are not able to provide proof of age, or think there is a risk of a minor being provided with alcohol.
4.7. You must drink and behave responsibly at all times. We may refuse service or ask you to leave if we think there is a risk to the safety or comfort of yourself, or others at the venue.

5. Medical & Physical Requirements

Activity	Restrictions
Karting	You cannot drive if you are pregnant, or have a medical condition/ impairment that would prevent you from driving on the road or from taking part in any physical exercise. These include (but aren’t limited to): heart conditions, back injuries, epilepsy, severe asthma, amputations/artificial limbs, hearing or sight impairments, or any form of mental or physical impairments. The karts are normally designed to cater for drivers under 200cm (6’4”) and under 114kg (18 stone).
Axe Throwing	You cannot participate if you are pregnant. You may not be able to participate if you have some forms of epilepsy, injuries or conditions affecting strength, mobility or coordination that could make safe throwing difficult.
Clay Shooting	You may not be able to participate with some forms of epilepsy, or if you are unable to safely handle a 4kg shotgun (laser-based, no live ammunition).
Escape Rooms	You may not be able to participate with some forms of epilepsy, severe asthma or related health issues. Light mobility (kneeling/stretching) is required for some tasks.

5.3. If you have a medical concern, we recommend you contact us (and a qualified medical professional) in advance so that we can advise whether it is suitable for you to participate. Refused participation on these grounds is part of our legal duty of care, which neither of us can opt-out of.
5.4. If we do not exclude you from participation on medical grounds, you still participate at your own risk. Our team are not qualified to assess individual medical conditions, and can only make reasonable recommendations on suitability. It is your choice to participate, regardless of our recommendation, and you should always exercise caution.
5.5. Our venue contains flashing lights, loud noises, smoke/fog, special effects and exhaust gases (within mandated limits), which all guests (including spectators) may be exposed to from the outset. You enter and use our facilities at your own risk.
5.6. Wheelchair user suitability by activity varies as follows, subject to meeting the relevant criteria in section 5.2:

Activity/Area	Restrictions
Karting	Suitability for driving varies by participant capability and must be approved before booking. Kitting up & briefing can be adapted with advance notice, including a private room if availability allows. Unfortunately we do not operate hand-controlled karts.
Axe Throwing	The activity is suitable for wheelchair users.
Clay Shooting	If you can use the stairs to reach the upper floor, the activity is otherwise accessible and suitable for wheelchair users.
Escape Rooms	Wheelchair accessible rooms are available. Light mobility (kneeling/stretching) is required for some tasks, so wheelchair users must be accompanied by another fully mobile player.
General Access	In all cases, please check with us before booking if your group has any participants or spectators in need of disabled access, so we can recommend suitability and prepare accessible areas in advance. Our ground floor activities are all wheelchair accessible, with advance notice. Unfortunately we do not currently have a wheelchair lift to the upper floor (Reception, Bar, Changing Rooms, Briefing & Viewing areas, Clay Lounge).

6. Behaviour, Safety & Rules

6.1. You’ll be given a mandatory briefing in advance of every activity. You must listen carefully and follow all rules and instructions.
6.2. You must tell us if you don’t understand any instructions, or if you feel unable to follow them, before you start participating.
6.3. We may remove you from an activity, or stop a session early, if we think your behaviour is a risk to the safety or comfort of yourself and others. You aren’t entitled to a refund in these circumstances.
6.4. You are responsible for any equipment and PPE provided to you, as well as the furniture and décor you use during your visit.
6.5. You shouldn’t use excessive force in any activity. All activities are designed for skill, not brute force.
6.6. We don’t tolerate antisocial, aggressive or abusive behaviour. You agree to behave respectfully towards our staff and other guests. We’ll remove you from the premises if your behaviour is inappropriate, and you may be reported to the police. This may disqualify you from entering other venues. You won’t be entitled to a refund in these circumstances.
6.7. You’ll be charged for any property that is damaged, lost or abused if you fail to fully comply with any of the rules above (6.1-6.6).
6.8. We may split groups by ability or experience if we think it’s necessary to maintain safety.

7. Data Collection & Privacy

Booking Policy

Payment

For all bookings payment is required to secure your event in the calendar.
All payments and deposits are non-refundable, non-transferable.
Payments are made online, by phone or in person. We accept most credit/debit cards, and cash is accepted at the venue. Cheques and BACS payments must have cleared our account at least 7 working days prior to your event.
Full payment is normally required at the time of booking. Deposit options may be available by request, but are offered at our discretion. Any outstanding balances must be settled before your event can begin.
Once confirmed by us, your payment secures your booking for a specific time, and constitutes a binding contract between yourself/your group and Formula Fast. You are responsible for verifying that the details of your booking are accurate at the time of payment.
A payment also acts as confirmation that you have read, understood and will adhere to the Terms & Conditions and Organiser Information.
If your driver/team number decreases from the amount stated when booking, you are not entitled to a refund. Unfortunately our costs are mainly incurred in preparing your event, and once reserved we turn away other potential bookings.
If your driver/team number increases from the amount stated when booking, an additional payment is required to reserve each additional driver/team. We will always do our best to accommodate extra drivers/teams but cannot guarantee additional spaces at short notice
We reserve the right to recover our costs, for example in the event of non-attendance or non-payment, by billing you or charging your credit/debit card using the details you provided when booking. We will take action to recover any outstanding debts if necessary.
For any changes to your booking, please get in touch as far in advance as possible. The more notice we have, the higher the likelihood we will be able to assist.
All prices inclusive of VAT. Prices are subject to change without notice.

Arrival

We run a very tight schedule due to popularity. You understand that you are booking a time slot and that failure to arrive at the specified arrival time may result in your event being cancelled and payments forfeited.
Standard arrival time is at least 30 minutes prior to the event start time unless otherwise stated. Junior Party arrival is 45 minutes prior to the event start time, Le Mans arrival is 60 minutes prior to the event start time.
All Drivers must view the Drivers Briefing which will take place before the event. Late arrivals may not omit this part of the process. If a driver is not fully paid and kitted up by the time the safety briefing begins, they will not be able to participate in the event.

Food & Drink

You are not permitted to bring food and drink onto the premises without prior permission. A cover charge may apply if you wish to arrange your own catering for an event.
We have a bar / cafe serving snacks, drinks and confectionary. Hot food may be served subject to availability on the day. Full catering can be provided as part of your event but this must be pre-booked.

Session Timings

Some people find it difficult to coordinate the kart controls on their first few times in a kart. If the pre-session training takes excessively longer than expected, this may result in on-track time being shortened to ensure timings for subsequent bookings.
Qualifying sessions of 10 Laps are capped to a maximum 6 minutes to prevent overrunning. Drivers achieving average laptimes (approx. 36 seconds), or below, will be able to reach 10 laps before the 6 minute cap (barring any yellow or red flags).
Occasionally you may experience a delay due to essential track or kart maintenance necessary for your safety, both during and in-between bookings. We will always endeavour to complete work as quickly as possible to minimise disruption.

Cancellation

Should you cancel an event after a payment has been paid and a time reserved, you will forfeit any payments made. All payments and deposits are non-refundable, non-transferable.
If your driver/team number decreases from the amount stated when booking, you are not entitled to a refund. Unfortunately our costs are mainly incurred in preparing your event, and once reserved we turn away other potential bookings. This is the same for most limited-capacity services.
However, we’ll always try and be as flexible as possible. If you think you may have an issue keeping to any of your booking terms, get in touch as far in advance as you can and we’ll do our best to help.
All indoor kart circuits can sometimes be at risk of developing condensation on the circuit under certain weather & atmospheric conditions. Condensation effectively ‘floods’ the track surface making it extremely hazardous to drive on. Whilst we have a number of prevention measures in place, there is no guaranteed or fast solution to this phenomenon. This is extremely unlikely to occur during your event, but it may sometimes be necessary to postpone or reschedule an event for an alternative date to allow for conditions to improve.
If an event has to be cancelled by us due to circumstances outside of our control, we will try to inform you at the earliest opportunity and will rebook you, if appropriate, on another day. However, payments cannot be refunded and no claims will be accepted relating to costs incurred as a result of a cancellation.

Vouchers & Special Offers

Vouchers valid until expiry date marked on the voucher
Certain restrictions may apply when booking. Bookings in which you intend to redeem your voucher must be made with reasonable notice, and you understand that our time slots are reserved on a first come, first served basis
Vouchers are not exchangeable for cash and may not be resold
Vouchers are single use only and non-refundable
Vouchers cannot be used in conjunction with any other offer
Vouchers, and the full voucher number, must be quoted when booking
Voucher must be presented on arrival and must match details provided when booking.
Promotional discount flyers, vouchers or coupons are not to be used with any other special offer or membership discount.
Promotional discount flyers, vouchers or coupons that are available to the public at the venue may only be used for bookings on subsequent days.
Participants/voucher holders are expected to conform to all other Cipher Terms & Conditions
Membership discounts cannot be used with any other special offer.
Email offers are only applicable to NEW bookings made after the time the email was sent.
